Privacy Policy

As a part of our recruitment process TCRecruit Ltd collects and processes personal data related to candidates applying to roles. We are committed to being transparent about how we collect and use that data in compliance with GDPR legislation.

What do we collect?

When applying for a role through our direct website or through a job board we will store any information written on your CV among other things. This includes:

  • Your name, address and contact details, including email address and telephone number

  • Details of your qualifications, skills, experience and employment history

  • Information about your current salary entitlement and expectation

  • Whether or not you have a disability for which we or the employer needs to make reasonable adjustments for during the recruitment process

  • Information about your right to work in the UK

Why do we process personal data?

We need to process personal data at your request to help in your job search and in some cases we need to ascertain that we are complying with legal obligations such as an eligibility to work in the UK before employment starts.

TCRecruit Ltd has a legitimate interest in the processing of personal data as part of the recruitment process and for record taking which enables us to document and assess a candidate’s suitability for a role and whether to put the candidate forward for a role. We may also need to keep data on file in order to respond to and defend against legal claims.

As a recruitment agency we may be asked to process special categories of data by our clients such as ethnic origin, religion or belief to ensure they are an equal opportunity employer or to monitor statistics. We may also collect information about whether or not candidates are disabled in order to make reasonable adjustments for that disability. We process such information to carry out our and our client’s obligation in relation to employment.

If your application is unsuccessful, TCRecruit Ltd may keep your personal data on file in the event that there are any suitable employment opportunities in the future for which you may be considered as is your legitimate interest. We will always ask for your consent before keeping your data for this purpose and you are free to withdraw your consent at any time.

Who has access to your data?

Your information may be shared internally for the purposes of recruitment. This includes members of the recruitment team, interviewers and managers in the business area with a vacancy and IT staff if access to the data is necessary to the function of the system.

We will not share your data with third parties, unless your application for employment is successful and we make you an offer of employment. We will then share your data with former employers to obtain references for you and to confirm employment history.

How does TCRecruit Ltd protect your data?

We take the security of your data very seriously. We have internal processes in place to ensure that your data is not lost, accidentally destroyed, misused or disclosed without permission. Your data will not be accessed except by employees in their duties and potential employers at your request.

How long does TCRecruit Ltd keep your data?

If your initial application for employment is unsuccessful via a job site or our website and you do not get a response we will hold your details for 12 months unless otherwise requested. If your application for employment with one of our clients is unsuccessful we will hold your data on file for 12 months after the end of the relevant recruitment process for consideration for future employment opportunities. At the end of this period or at your request we will delete and/or destroy your data. You will be asked when you submit your CV, or if an initial application fails, whether you give us consent to hold your details in order to put you forward for other positions.

If your application for employment is successful, your personal data will be stored in our CRM system and retained during your employment.

Your Rights

As a data subject, you have a number of rights. You can:

  • Access and obtain a copy of your data on request;

  • Require the organisation to change incorrect or incomplete data;

  • Require the organisation to delete or stop processing your data;

  • Object to the processing of your data where TCRecruit Ltd is relying on its legitimate interests as the legal ground for processing

What if you choose not to provide personal data?

You are under no obligation to provide data to TCRecruit Ltd during the recruitment process. However, if you do not provide the information it may hinder your application process.
